POSITION TITLE: Administrative Assistant/Human Resource Development Coordinator

REPORTS TO: Credit Union President/CEO

SUPERVISES: Receptionist

FLSA STATUS: Exempt

USAgencies Credit Union believes that each employee makes a significant contribution to our success. That contribution should not be limited by the assigned responsibilities. Therefore, this position description is designed to outline primary duties, qualifications and job scope, but not limit the incumbent nor the organization to just the work identified. It is our expectation that each employee will offer his/her services wherever and whenever necessary to ensure the success of our endeavors.

BASIC RESPONSIBILITIES

Administrative Assistant

Provides administrative support for the President/CEO, Management Team, Board, and Committee Members. Performs administrative and general office duties including scheduling, typing/word processing, filing and other duties as required. Responsible for the maintenance of records for the Board of Directors and Board Committees.

Human Resource Development

Provides human resource services for the credit union with primary emphasis in the areas of human resource policy development and implementation, wage and salary administration, performance appraisal programs, employee benefits, recruitment, human resource records, reports and statistics, counseling, orientation, and employee training and development programs. Supervises the receptionist.

ESSENTIAL FUNCTIONS

Administrative Assistant

  1. Provides administrative and clerical support to the President/CEO and other members of the Management Team.

  2. Coordinates and prepares for the following meetings: Board of Directors, Board Committee, Planning Sessions, Annual Shareholders, CUSO Board, and Management Team. Arranges for room and food if necessary.

  3. Acts as Recording Secretary for the above meetings. Compiles and copies information and disseminates materials for the meetings, including agendas, minutes and committee reports.

  4. Conducts research and prepares statistical and financial reports to assist the Management Team in the development of a business plan.

  5. Evaluates and routes incoming correspondence and assembles related information.

  6. Assists in scheduling and or arranging appointments, meetings, business trips, etc.

  7. Performs specialized or confidential administrative duties, including researching data and preparing reports as needed.

  8. Disseminates informational mailings and articles to the Board of Directors, management and others.

Human Resource Development

  1. Administer, review and recommend changes to all employee benefit and compensation programs which maintain the Credit Union's competitive posture, while being cost-effective. Consults with and advises employees on eligibility for insurance, hospitalization and other benefits. Maintains benefit records and prepares documents necessary for implementing benefit coverage.

  2. Processes the employee payroll, cafeteria, and 401 K programs, including timekeeping records (e.g., sick leave, vacation and other absences, etc.). Compiles statistics for management's use.

  3. Recruits and selects quality applicants for vacancies, ensuring that the credit union is adequately staffed with competent employees.

  4. Prepares and maintains the human resource file on all employees.

  5. Conducts new employee orientation.

  6. Counsels employees in the interpretation and application of HR policies and procedures.

  7. Develops and conducts training and development programs as deemed appropriate for meeting the needs of the staff as well as the objectives set forth for the credit union.

  8. Advises managers and supervisors on desired personnel actions, offering alternatives.

  9. Reviews and updates the Employee Policy and Procedures manual as required.

  10. Assists in the development of , and maintains and monitors the performance appraisal system for the credit union.

  11. Maintains knowledge of current federal and state employment laws relevant to the credit union.

  12. Informs President/CEO about concerns or complaints received from members and staff that could effect the overall operation of the credit union or which may impact employee/management relations.

  13. As the Administrative Assistant/Human Resource Development Coordinator, you are responsible for the supervision of the Receptionist. These duties include, but are not limited to:

    • Maintaining a personnel file and time sheet for the Receptionist.

    • Providing an updated job description on a annual basis.

    • Recommending/not recommending vacation requests, subject to current credit union policies. All requests will require relief from personnel not under your supervision and must be coordinated with the appropriate supervisors.

EDUCATION AND SKILLS REQUIRED

Education and Experience

  1. Successful completion of high school level mathematics and grammar in order to process employee payroll and complete writing assignments. The successful completion of a high school or college-level accounting course preferred. Completion of college-level human resource courses or equivalent experience required.

  2. A minimum of 3 years of administrative experience required. A minimum of 3 years human resource experience preferred.

Skills

  1. Must have a high level of proficiency and accuracy in all duties (minimum 50 wpm typing skills).

  2. Must be detail-oriented and possess good figure aptitude.

  3. Ability to organize projects, prioritize workflow and complete multiple tasks simultaneously and accurately.

  4. Must have above average written and verbal communication skills with emphasis on correct English grammar.

  5. Must demonstrate ability to exercise independent judgment, initiative and tact in dealing with management, supervisors, staff and the general public.

  6. Must present a professional, business-like manner and appearance.

  7. Must maintain confidentiality.
